Importing text from word processor documents


Not only is InDesign well integrated with the other Creative Suite applications, but it also enables you to import text and graphics in numerous formats, including native Word and Excel files. When importing text from a Word document, you have the choice to ignore or preserve text styles and formatting, or match imported styles with styles defined in InDesign. In this lesson you will simply import unformatted text from a Word document, and leave the formatting to InDesign.


1.

Choose View > Grids & Guides > Hide Guides.

Choose View > Show Frame Edges.

You can now see a text frame placed on the purple reverse side of the CD cover design.

With the Selection tool, click anywhere inside the text frame on the purple background to select it.

With the text frame selected, choose File > Place.

Select the file CD Text.doc in the Lesson02 folder, inside the CS2CID Lessons Favorites folder. Don''t double-click yet.

Select the check box next to Show Import Options.

Select the check box next to Replace Selected Items.

Click Open.

The Microsoft Word Import Options dialog box will appear because the Show Import Options was selected in step 6.

Leave all the check boxes selected in both the Include and Options sections. In the Formatting section, select Remove Styles and Formatting from Text and Tables.

Ignore all the other options offered and click OK.

The text will flow directly into the previously selected text frame because the Replace Selected Items in step 7 has been clicked. Be careful when loading text this way into a frame that is not empty. The text will be inserted at the current cursor location, replacing any text that happens to be selected when the Place command is invoked.

Because you selected to disregard the text formatting from the Word document in step 9, the text will be formatted using the text attributes that were defined for the text frame created in InDesign.

11.

Choose File> Save, name the file CD Cover Final.indd and save it in the Lesson02 folder, inside the CS2CIB Lessons Favorites folder.
