Chapter 12 how to record narration and set timings for a presentation, and those timings represent the length of time between one slide and the next. You can also set automatic timings for the slides without recording any narration.
Setting up Automatic Transition Timings
The default is manual transition, so you must specifically set up automatic timings if you want them. For automatic timings, you can either assign the same transition time to all or assign individual times for each slide. Rehearsing the timings (which is covered in the next section) is the most effective method of assigning individual times per slide.
Caution | You will probably want to assign automatic transitions to all slides in the presentation or none-but not a mixture of the two. It can get confusing if some of the slides automatically advance and others don't. However, you are free to assign different timings and effects to the various slides' transitions. |
To assign an automatic transition to an individual slide, display the Slide Transition task pane (by choosing Slide Show⇨Slide Transition), display or select the slide, and then mark the Automatically After checkbox and enter a number of seconds in its text box (see Figure 13-1). Then, to apply that same setting to all the slides in the presentation, click the Apply to All Slides button.
Figure 13-1: Set a slide to advance automatically after a certain number of seconds.
It is perfectly okay to leave the On Mouse Click checkbox marked even if you choose automatic transitions. In fact, it's a good idea. There may be times when you want to manually advance to the next slide before the automatic transition time has elapsed, and leaving On Mouse Click turned on allows you to do so when needed.
Note | It does not matter what transition is selected in the Apply to Selected Slides list; even if it is set to No Transition, transitions will still occur. There will simply be no special transition effect with that setting. |
Transition timings appear beneath each slide in Slide Sorter view, as shown in Figure 13-2.
Figure 13-2: The numbers beneath and to the left of each slide represent the timings set for them.
Rehearsing and Recording Timings
The trouble with automatic timings set as a whole for all slides is that not all slides deserve or need equal time on-screen. Some slides have more text than others, or more complex concepts to grasp.
To allow for the differences, you can manually set the timings for each slide as in the preceding section, but there's another way. Use the Rehearse Timings feature in PowerPoint to run through your presentation in real time, and then let PowerPoint set the timings for you based on that rehearsal.
Note | When you set timings with Rehearse Timings, any hidden slide is ignored. If you later unhide that slide, it will not be set to advance automatically. You will need to individually assign it an Automatically After transition, as in the preceding section. |
To set transition timings with the Rehearse Timings feature, choose Slide Show⇨Rehearse Timings. The slide show begins, with a floating Rehearsal box as shown in Figure 13-3.
Figure 13-3: The Rehearsal box helps you set timings for moving from slide to slide.
Wait until you think it is time for the next slide to appear; then click the Next button, click the mouse, or press Page Down.
Tip | If you want a fairly long time for a slide, such as 30 seconds or more, you might find it faster to enter the desired time in the Current Slide Timing box on the Rehearsal toolbar rather than waiting the full amount of time before advancing. Click in that box to move the cursor there, and then enter the desired time and press Tab. After entering the desired time, make sure you do press Tab and don't simply click the Next button, or it won't take. |
It may help when setting timings to read the text on the slide out loud, rather slowly, to simulate how an audience member who reads slowly would proceed. When you have read all the text on the slide, pause 1 or 2 more seconds and then advance.
If you need to pause the rehearsal at any time, click the Pause button. When you are ready to resume, click it again.
If you make a mistake on the timing for a slide, click the Repeat button to begin timing that slide again from 00:00.
When you reach the last slide, a dialog box appears telling you the total time for the show. If you want to preserve the timings, click Yes. Otherwise, click No and choose Slide Show⇨Rehearse Timings again to try again.
After setting the timings, test them by viewing the show normally (select Slide Show⇨View Show). If any of the timings are off, return to Normal view and adjust them with the Slide Transition task pane.
