Using the PowerPoint Viewer

The PowerPoint Viewer is a utility that shows PowerPoint presentations but cannot edit them. It's kind of like being in Slide Show view permanently. If the PC on which you will show the presentation does not have PowerPoint 2003 installed, the PowerPoint Viewer will be necessary to view the presentation there.






Note

PowerPoint 2003's PowerPoint Viewer is very different and much improved from the version supplied with earlier versions of PowerPoint. Earlier versions often did not play properly. The 2003 PowerPoint Viewer, however, is virtually flawless in its playback abilities. Therefore, if the PC on which you are planning to show the presentation has an earlier version of the PowerPoint Viewer installed, it's best to bring along a copy of the newer Viewer.



Playing a Presentation with the PowerPoint Viewer


To use a self-running presentation CD that you've created with the Package for CD feature, just insert the CD. Assuming the PC has Autorun set up for the CD drive, the presentation will start automatically. If it does not, double-click the CD icon in My Computer.

If you have placed multiple presentations on the CD and specified that a menu should appear for them, a menu (actually a modified Open dialog box) appears when you insert the CD. Select the desired presentation and click Open. This dialog box reappears when the presentation has completed; click Cancel if you're finished.

You can also play presentations with the PowerPoint Viewer independently from any package. Simply double-click the executable file for the viewer (pptview.exe), and a dialog box will prompt you to choose the presentation file to open.


Making the PowerPoint Viewer Available Separately


The PowerPoint Viewer must be packaged with a set of dynamic link library (.dll) files in order to work. When you use the Package for CD feature, it automatically includes those support files.

Here are the files that need to stay together when distributing the PowerPoint Viewer:



pptview.exe



gdiplus.dll



intldate.dll



ppvwintl.dll



saext.dll



unicows.dll



Here's an easy way to make a disk or folder containing these six files:




Create a blank presentation, and save it as Deleteme.ppt. Then package it for CD, but package it to a folder on your hard disk rather than to a CD.



Open that folder in a file management window, such as My Computer, and delete the following files: Deleteme.ppt, Autorun.inf, Playlist.txt, and Play.bat. You can keep pvreadme. htm if you want; it's optional.



(Optional) If you want to make the set of files available to others via e-mail or Web, use a zipping program (or Windows XP's built-in right-click Send To⇨Compressed (zipped) Folder command) to create a ZIP file containing the files.
