Chapter 3), your handout layout is controlled by the Handout Master. There are actually separate handout masters for each number of slides that you can choose from the Print dialog box, but they are all accessed from the same interface.


To view the Handout Master, choose View⇨Master⇨Handout Master. It has much in common with the Slide Master, as you can see in Figure 16-3.

Notice that the Handout Master View toolbar (see Figure 16-1). Click a button to view that layout.

Common Handout-Formatting Activities



You can do almost exactly the same things with the Handout Master that you can with the Slide Master. Here are some ideas:






Change fonts. The text placeholder areas (Header Area, Date Area, Footer Area, and Number Area) can all be formatted with a different font, size, color, and text attribute, and their text alignment can be changed.





Delete placeholder areas. The four aforementioned text placeholder areas can each be deleted from the layout (select and press Delete). To restore one after it has been deleted, click the Handout Master Layout button to open a dialog box where you can reselect deleted items for redisplay.





Move placeholder areas. Drag any of the text placeholder frames to a different location on the layout, if desired.





Apply a different color scheme. If you have a color printer, right-click the handout area and choose Slide Design; from there, click Color Schemes in the task pane, and then choose a color scheme, just like for regular slides.






Change the background. Right-click the handout area, choose Handout Background, and then choose a background. Be aware, however, that a patterned or colored background may distract from the slides' message and use a lot of ink when printed. It will also not print to the edge of the paper on most printers, so there will be a plain white border around the outside of each printout.





One thing you can't do is to resize or move the placeholder boxes for the slides on the Handout Master. These are fixed, as are the page margins for the handouts. If you want to change those features, consider exporting the handouts to Word and working on them there. I'll explain this in detail later in the chapter.



Controlling the Display of Headers and Footers



You don't have to delete text placeholders on the handouts to suppress them; just turn them off or leave them blank. Those methods have the advantage of allowing you to keep any custom positioning or formatting you have set up for them while still temporarily suppressing them.






Note


Suppressing header/footer elements for handouts also does the same for any speaker notes you print (discussed later in the chapter). A single set of settings applies to both.




You can adjust these settings either from Handout Master view or from anywhere else. Choose View⇨Header and Footer, and click the Notes and Handouts tab (see Figure 16-5). Then adjust any of the settings discussed in the following sections.

DATE AND TIME



To suppress whatever is in the Date Area text placeholder, clear the Date and Time checkbox. However, it is not really necessary to do this because the default setting is Fixed and there is nothing in the Fixed text box by default. Therefore, the end result is that nothing appears in the Date Area.


If you do want a date/time to appear, either type something in the Fixed text box, or choose Update Automatically and then choose a date/time format from the drop-down list (see Figure 16-5).



HEADER AND FOOTER



The Header and Footer placeholders are enabled by default, but there is nothing in them by default so the end result is that nothing prints in those areas.


You can type text in the Header and Footer dialog box to create header and footer text if desired, or you can delete the bracketed codes that appear on the Handout Master View in those areas and replace them with your own text.





PAGE NUMBER



By default, the pages are numbered. Clear the Page Number checkbox if you don't want this. However, page numbering is usually a good idea (unless you have only one page in the print job).
