Working with a Team


Many times, web design isn't a lonely pursuit but, rather, a team sport. Many medium- and large-sized organizations use near-army-sized groups of designers, developers, and programmers, all working in their fields of expertise.

What binds all this talent together is the web site they're working on and the common tool they all use: Dreamweaver. Dreamweaver provides a couple of features to aid the growing number of designers working in a team environment.

Remember: There's no "I" in team.


Using Design Notes


Whether you're working as a part of a design team or all by your lonesome, Design Notes provide a great way to keep track of those bits of information that usually wind up scribbled on scraps of paper. A document's status, a project's deadline, edits, and communication between team members all can be stored in Design Notes.

When you add a Design Note to a document (they work on your web pages, graphics, and other files), Dreamweaver creates a _notes folder in your site folder and a corresponding file with the .mno extension.

Design Notes provide a great way to keep track of information related to a file.

Here's how to add a Design Note to a page:


1.

Open the document that you want to add the Design Note to.

Noteworthy

The _notes folder won't appear in the Files panel.

2.

Choose File > Design Notes.

The Design Notes dialog box opens to the Basic Info tab.

You can use the Status menu to communicate with other team members about the document's progress. You can also add notes at the bottom of the dialog box. To have the Design Note open automatically, select the check box at the bottom of the dialog box.


If you want to add your own menu items to the Status menu, follow these steps:


1.

Open the Design Notes dialog box and switch to the All Info tab.

2.

Click the Add Item button (the plus sign).

3.

In the Name field, type status.

4.

In the Value field, type the custom menu item text.

To test your new menu item, click the Basic Info tab.

The Status menu should be set to your new option. Unfortunately, Dreamweaver allows only one custom status option.


You can also set up the Files panel to display the Design Note icon for files that contain Design Notes:


1.

Choose Site > Manage Sites.

2.

Select your site and click Edit.

3.

In the Site Definition dialog box that opens, click the File View Columns category on the left.

4.

In the list that appears, select Notes. In the Options category toward the bottom of the dialog box, select Show.

Click OK to close the Site Definition dialog box.

6.

At the bottom of the Manage Sites dialog box, click Done.

A Notes column is now added to the Files panel. Any file that has a Design Note attached to it will display an icon in this new column. You can then double-click the Design Note icon to open the note for that file.

You can also add a Design Note to a file directly in the Files panel. Right-click (Windows) or Control+click (Mac) the file and choose Design Notes.



Checking Files In and Out


Dreamweaver provides the ability to check files in and out to ensure that team members don't overwrite each other's work as they build and update a web site. This feature also allows team members to see who's working on a particular file, so they know who to strangle when they're waiting for a file to become available.

Dreamweaver's Check In/Check Out feature ensures that team members don't overwrite each other's work and allows team members to see who's working on a file.

To use Dreamweaver's Check In/Check Out feature, all team members must have the Check In and Check Out setting activated for the site they're working on, and Design Notes turned on.

Here's how to set up Check In/Check Out:


1.

Open the Manage Sites dialog box by choosing Site > Manage Sites.

2.

Select the site that you want to activate Check In/Check Out for and click Edit.

3.

In the Category list on the left, click Remote Info.

4.

Select Enable File Check In and Check Out.

5.

Select Check Out Files When Opening.

6.

Enter your name and e-mail address.

With Check Out Files When Opening selected, when you double-click a remote file, it will automatically check itself out and download to your machine. By adding your name and e-mail address, you enable other team members to see who has a file checked out, and they can contact you directly from Dreamweaver. Pretty organized, huh?

Imminent Doom

All team members must use Dreamweaver's Files panel to upload and download their work. That's how Dreamweaver tracks the Check In/Check Out status of files. If a team member uses an external FTP client, there's a very high probability that files will be overwritten accidentally.

With Check In/Check Out set up on your computer and your team members', here's how to check files in and out:


1.

Check the Files panel to make sure that you're connected to your remote site.

2.

From the Remote Site list on the Files panel, select the files you want to check out; then click the Check Out icon on the Files panel toolbar.

3.

Dreamweaver will ask if you want to include dependent files. Choose Yes to get dependent files and No to dismiss the dialog box without getting the dependent files.

In your Files panel, a green check mark will appear beside the files you've checked out. Your colleagues will see a red check mark beside those same files, and in the Checked Out By column, your name will appear.

4.

After you're done with the files, check them back in by clicking the Check In button on the Files panel toolbar.
