Copying, Pasting, and Deleting Content

You can copy, paste, and delete text and other content from selected cells. Keep in mind that to be successful when you're replacing content, you must paste into a table structure which is at least as many cells wide and tall as the cells you're pasting.

For example, what do you do if a Excel or Word table gets updated and you need to update it in InDesign, too? If the table were still linked to the original file and you updated it, you would lose all your InDesign-applied formatting. Here's what you do.

  • In Word or Excel, select contiguous cells with the updated data, and copy them to the Clipboard.

  • In InDesign, click an insertion point in an empty text frame, and choose Paste from the Edit menu. A small table will appear containing just the cells you copied.

  • Select this new table, and copy the cells to the Clipboard.

  • Select the cells whose content is to be replaced in your formatted table, and choose Paste from the Edit menu. Of course, the pasted cells may need to be formatted again; if you're using character styles, just apply them.

  • Actually, the best way to retain the formatting in a table is to use Woodwing Software's SmartStyles plug-in (

    www.woodwing.com ), which lets you record and reapply a bunch of formatting quickly and easily.
