Total Visual Agent


For your Access databases to run optimally and not grow larger and larger over time, you need to periodically perform database compaction. It also goes without saying that you should back up your data.

Fortunately, FMS, Inc. produces a product, Total Visual Agent, that handles these administrative chores. This powerful product allows you to automatically manage and maintain the databases and applications that you create. It allows you to schedule the process of compacting, backing up, and repairing your databases. You cannot perform these important tasks during the day when users are in the applications that you build. Using Total Visual Agent, you can schedule these tasks to be performed in the middle of the night when no one is using the applications. I often use this wonderful tool to schedule complex management reports to run in the middle of the night. Because Total Visual Agent runs the reports when no one is in the system, processing involved in creating the reports does not degrade the performance of users trying to get their jobs done during the day. Furthermore, the reports are ready and waiting for the users when they arrive at the office in the morning.

Total Visual Agent also allows you to track database statistics, create rolling archives, extract data and write it to other databases, run macros and command line actions, and more. It lets you manage an unlimited number of databases across your network by specifying them individually or pointing to a directory and its subdirectories. It even supports secure databases.

Total Visual Agent maintains an audit log of every task it performs and can even send an email message to the system administrator if something goes wrong.

Figure 31.10 shows the Total Visual Agent Manager. This is where you create scheduled events and add databases to the events. The Add Database to Event dialog box lets you designate which databases are included in a scheduled event. After adding a database to a scheduled event, you can designate which actions you want to perform on the database (see Figure 31.11).

After you have created schedules and designated the work you want Total Visual Agent to perform, you are ready to sit back and let the program do its work. At any time, you can view a history of events that have occurred. You can also easily add and modify schedules and actions as necessary. In addition to running Total Visual Agent as a standalone program, the latest version can also run as a Windows service.
