Sharing FileMaker Data Using ODBC in Windows

You can share your FileMaker databases with ODBC client applications on your Windows computer. (You can also share these databases over a network, as long as they are being hosted using a FileMaker Server 7 application.) This is particularly useful if you or others in your workgroup also work with databases created in Microsoft Access.

Follow these directions for setting up your FileMaker database to work with ODBC even if you've done so in an earlier version of FileMaker. The ODBC driver, like many elements of FileMaker 7, is brand new, and the old driver is no longer compatible with the application.

To share a FileMaker file

1 .

Open the FileMaker database you want to share.

There is no way to bulk configure ODBC access. You must share and configure each database file separately.

2 .Choose Edit > Sharing > ODBC/JDBC (Figure 13.1).

Figure 13.1. To configure ODBC access, you set preferences in the Sharing menu item.

3 .

When the ODBC/JDBC Sharing Settings dialog box appears, select the On radio button in the ODBC/JDBC Settings section. Select a file to share from the "Currently open files" list (Figure 13.2).

Figure 13.2. A FileMaker file must be open before you can share it.

5 .

Click OK to finish, or select another file from the Currently open files list and repeat step 4.

If you are setting up FileMaker databases for network access, the ODBC user will handle the rest of the configuration process. If you are planning on sharing your FileMaker data on the same computer, you'll also need to install an ODBC client driver and configure your database before you can access the data in the ODBC application.

To configure a database for local ODBC use

1 .

On your FileMaker installation disk, navigate to xDBC\ODBC Client Driver Installer. Open the folder and double-click setup. Follow the instructions that appear (Figure 13.4), and accept all the default settings.

Figure 13.4. To access SQL database programs on your local computer, you need to install the DataDirect driver.

The ODBC Client Driver needs to be installed to enable any non-FileMaker ODBC databases to understand and access FileMaker file information.

2 .From the Windows Start menu, go to Settings > Control Panel. When the Control Panel appears, double-click Administrative Tools. Double-click Data Sources (DBC).

3 .

When the ODBC Data Source Administrator dialog box appears, select the System DSN tab. Click Add (Figure 13.5).

Figure 13.5. Add your database to broadcast it as an ODBC data source.

4 .When the Create New Data Source dialog box appears, double-click DataDirect 32-BIT SequeLink 5.4 in the scrolling list.

5 .When the DataDirect SequeLink for ODBC Setup dialog box appears, type a name for the FileMaker file in the Data Source Name (DSN) box (Figure 13.6).

Figure 13.6. The name you select as the file's DSN does not have to be the actual file name.

Most of the time, you should use the name of the FileMaker file here. If that name is too long, or doesn't describe the database well, add text in the Description input box.

6 .

In the SequeLink Server Host input box, type localhost. In the SequeLink Server Port input box, type 2399.

The localhost address tells ODBC that you are connecting on the same local computer as the database.

7 .Click the … button to browse for the Server Data Source. When the Server Data Sources dialog box appears, select the database you want to share (Figure 13.7). Click OK.

8 .

Click Test Connect to verify that ODBC can find your FileMaker file (Figure 13.8).

Figure 13.8. Test Connect gives you a fast way to verify that your database is properly configured.

9 .When the Logon to SequeLink Service dialog box appears, type the name and password of an account with full access to the FileMaker database (Figure 13.9).

Figure 13.9. Log on to the FileMaker database using an account with full access rights.

10 .When the confirmation dialog box appears, click OK twice to return to the ODBC Data Source Administrator dialog box.

11 .Repeat steps 310 for as many database files as you want to share. Click OK to finish.

The Windows version of FileMaker comes with several ODBC drivers preinstalled, but you can also use steps 2 through 11 to configure additional ODBC drivers in Windows. Just select the driver you need from the list in Create New Data Source.
