Preparing, Printing & Exporting Books

A great time saving feature of books is the ability to preflight, package, print, or export multiple documents without manually opening each one.

Preparing Books for Printing

Before you print or export, you can check the preparedness of all files in a book by choosing Preflight Book from the Book palette's flyout menu (XPress doesn't have this feature). InDesign checks all the documents listed in the book (or all the selected files, if you have chosen one or more in the palette) for missing or modified images along with possible color space problems and missing fonts. We discuss preflighting in detail in Chapter 91.

You can also use the Package Book feature (in the flyout menu) to collect all supporting elements (fonts, graphics, and so on) used within the book's documents to send them to a coworker or output provider. This is similar to XPress's Collect for Output feature, but XPress can't "package" up all of the files in a book. We discuss InDesign's Package feature in detail in Chapter 92.

Printing Books

You can print an entire bookeven if it includes many fileswithout the need to open a single document by clicking the printer icon at the bottom of the Book palette or selecting Print Book from the book palette's flyout menu. As with synchronizing, preflighting, and packaging you can select a portion of the book to print as opposed to the entire book (Command/Ctrl click to select non-contiguous files in the palette). Note that while XPress cannot currently write book files to disk as PostScript, InDesign has no trouble with this. We talk about printing in Chapters 93 to 95.

Exporting Books to PDF

Like printing, you can export an entire book to PDF without having to open any of the documents contained in the book (XPress does not allow exporting books to PDF). To do this, select the Export Book to PDF command from the flyout menu (make sure no files are selected when you do this, or you'll only export those documents), and choose the PDF export options. We discuss the PDF export options available in Chapter 99.
